This Privacy Policy explains how In&Out ("we", "us", "the bot") collects, uses, and protects your information when you use our Discord bot service.
We are committed to protecting your privacy and only collect data necessary to provide our service. We follow Discord's Developer Terms of Service and data handling requirements.

Data Minimization - We do NOT collect or store:
- Usernames, nicknames, or avatars (fetched on-demand from Discord API)
- Message content (except emoji characters in designated soundboard channel)
- Direct message content
- Personal information (email, phone, address)
- Financial information (payment data handled exclusively by Stripe)
- Presence/activity data (used in real-time only, never stored)
3. How We Use Your Data
Your data is used exclusively for these features:
- Sound Playback: Store and play custom entry/exit sounds in voice channels
- Leaderboards: Display top contributors (User IDs only; usernames fetched live from Discord)
- Achievements: Track XP progression and badge unlocks
- Emoji Soundboard: Detect emoji triggers in admin-designated channel only
- Broadcast System: Admin-initiated surveys with explicit consent (see Section 4)
- Subscription Management: Track trial periods and plan status
4. Broadcast System & Consent
The broadcast feature allows server admins to send surveys and announcements to members. Important safeguards:
- Admin-Only: Only users with "Manage Server" permission can initiate broadcasts
- Rate Limited: Maximum 1 DM per second to respect Discord's limits
- No Spam: Used for community organization (timezone surveys, announcements), NOT marketing
- Opt-Out: Members can block the bot or disable DMs to stop receiving messages
- No Content Storage: We store delivery status and response choices only, NOT message content
- Reminder Control: Reminders only sent to non-responders, maximum once per campaign
Your Control: If you don't want to receive broadcast messages, you can block the bot or disable DMs from server members in your Discord privacy settings.
5. Message Content Intent Usage
We use Discord's Message Content intent with strict limitations:
- Scope: ONLY reads messages in the admin-designated soundboard channel
- Purpose: Detect emoji characters to trigger mapped sounds
- No Storage: Message content is processed in real-time and immediately discarded
- No Logging: We do not log, store, or transmit message text
- Admin Control: Server admins choose which channel (if any) enables this feature
6. Data Storage & Security
Your data is stored securely using:
- PostgreSQL Database: Hosted on Neon with encryption at rest (AES-256)
- Audio Files: Stored as encrypted BLOBs in the database
- Access Control: Role-based access, only authorized systems can query data
- Transport Security: All connections use TLS/SSL encryption
We use industry-standard security measures to protect your data from unauthorized access, alteration, or destruction.

Request Data Deletion:
Include your Discord User ID and/or Server ID. We process all deletion requests within 30 days.
8. Data Sharing
We do NOT share your data with:
- Data brokers or advertisers
- Marketing companies
- Any third parties for commercial purposes
Limited sharing for service functionality:
- Stripe: Payment processing only (they receive payment-related data)
- Discord API: Required for bot functionality
- Global Leaderboard: Opt-in only; displays server name and invite publicly
- Sound Marketplace: Opt-in; sounds you publish are visible to other servers
9. Your Rights
You have the right to:
- Access: Request a copy of your data
- Deletion: Request deletion of all your data (processed within 30 days)
- Correction: Request correction of inaccurate data
- Opt-out: Disable optional features (Global Leaderboard, Marketplace, Broadcasts)
- Portability: Request your data in a portable format

10. GDPR Compliance (EU Users)
For users in the European Union, we comply with the General Data Protection Regulation (GDPR):
- Legal Basis: Legitimate interest (providing the service) and consent (optional features)
- Data Controller: In&Out Bot developer team
- Right to Erasure: Request complete deletion at any time
- Right to Object: Object to processing by removing the bot or contacting us
- Data Minimization: We only collect data necessary for features you use
11. Children's Privacy
We do not knowingly collect data from users under 13 years of age (or the minimum age in their jurisdiction as required by local law).
If we discover data from underage users, we will delete it immediately. If you believe we have collected data from an underage user, please contact us.
